W12 – Clear Conference Objectives Creates a Valuable Experience

To maximise return on investment, clear objectives for your conference need to be defined.

13 May, 2015 – U.K - Delegate experience is hugely important when hosting a conference but so too is achieving your conference goals. Companies run conferences for a variety of reasons but if they are to achieve their goals, they need to have clearly defined objectives.

Samantha Whitehorn from Associations Now; explained that defining objectives is essential as it will dictate everything you plan and execute. “Ask yourself what your conference objective is,” says Whitehorn. “Once that’s determined, it will dictate everything else you plan and execute.” The planning stage is critical for all types of conference.

Tony Steedman from W12 Conferences explained that many conferences fail because of a lack of objectives. “The planning stage of any conference is crucial and without good planning with clear objectives, a conference will lack the integrity to truly captivate the audience.”

A good example of a well delivered conference is CeBIT in Hannover, Germany, the largest conference in the world. It is a success year on year due to its targeted exhibitor base and clear objectives. In 2011, CeBIT welcome 4,200 exhibitors and attracted more than 330,000 visitors. The objective of this conference is to showcase the latest consumer electronics and IT innovations. The CeBIT organisers work hard to follow this objective, so that every attendee finds it valuable.

“CeBIT is a clear example of a conference where objectives have been clearly defined,” says Mr Steedman. “Even though this conference is huge, smaller conference organisers can learn a lot from the way in which it is planned. I believe that a clear conference objective will trickle down to the attendee, enabling them to appreciate benefits, issues, challenges and concerns with regard to the subject matter.”

Mr Steedman went on to say “Many people run conferences to boost brand awareness and to generate sales. While this is a great idea in principle, companies need to think about how they are going to arrange sales meetings with delegates and measure the increase in brand awareness. By booking sales meetings at the event and tracking social media shares, companies have a clear conversion measure that they can gauge the success of the conference on.”
